Job Summary
This Administrative associate level 2 will provide a full range of varied, multi-skilled secretarial, clerical, and administrative support under general direction that requires creativity, and independent, discretionary judgment, and confidentiality to ensure that the needs of the internal and external customer are met. Reports to assigned supervisor.
Key Accountabilities: Provide efficient, accurate, and timely administrative support to contribute to the success of the area. Responsibilities may include: the preparation of varied reports, correspondence, tables, and brochures requiring judgment on the content and format using advanced word processing skills and basic graphics, where information may not be readily available and requires a review and judgment to determine applicability. The Administrative Associate may compose routine correspondence, perform varied data entry into established spreadsheets and databases, may modify spreadsheets and databases based upon existing formats with approval. Ensures the validity and of data and outputs, and reconciles differences. Uses the information to produce reports. Completes and maintains standard records/forms/logs according to detailed procedures as required by the function of the work area. Maintains appointment calendar and schedules appointments.
Contribute to the successful operation of the area by providing clerical support under general direction such as: using office machines to accomplish desired outcome, including the determination of the appropriate means, and modifying procedures as required; maintaining unit files in a complete, accurate, and timely fashion in accordance with the standards of the work area, suggesting changes to system to meet changing needs.
Contribute to the smooth flow of information within the area, and to and from customers and other areas. Responds to questions and requests for information, and resolves problems by gathering information and using thorough knowledge and understanding of own work area and others. Handle inquiries directly or forward to appropriate person. Initiate communications regarding assigned responsibilities and other routine matters. Knows when to refer up the chain of command.
Complete assigned portion of the area's processes or projects to contribute to its effective operation. Generally responsible for a portion(s) of larger process or project(s). May perform or coordinate routine processes and determine the most appropriate methods and procedures. Specific tasks are usually similar to the tasks included in the Clerical, Administrative, Scheduling, Communications Accountabilities and other duties as assigned. Demonstrates competencies, including knowledge and behaviors, to meet age-specific patient needs (e.g. Pediatrics, Adolescents, and Geriatrics.) Works effectively as a team member within the department and with customers to provide quality service to hospital units through communication, cooperation and collaboration. Assumes responsibility for self-improvement by collaborating with the superior to identify growth opportunities and resources.
Qualifications
• High School diploma required.
• Additional education preferred.
• One to two years previous secretarial experience.
• Basic keyboard skills with proficiency in use of personal computer.
• Good communications skills.
• Cardiology experience preferred.
• Must be flexible with regard to the changing needs of the unit.
